Although legal implications are enough of a reason to have an effective process in place to manage contractors working on site; costs of incidents/accidents (such as fines, compensation, legal costs, lost production time, loss of business and equipment etc) and contractors lack of knowledge of your business processes and practices, in particular potential hazards; also come into the equation.

Contractor Pass is our paper-based contractor system that works in a similar way to a visitor book but contains specific details for contractors. The system is displayed in a professional presentation board in the reception area and each contractor completes their details on the next available authorisation to work pass. A copy of all of the contractor’s details is made automatically onto the register underneath the pass at the time of writing by the ‘one-write’ carbon paper system. To protect contractor identities a discretion sheet can be used between the pass and the register. The pass is torn from the board and displayed in a wallet which is worn on a lanyard, clip or armband which attaches to the contractors clothing.
As the register records every contractor and every contractor should also sign out on leaving the premises it also doubles as an evacuation/fire list of all contractors on site which can be quickly collected from the reception desk in an emergency. Also, with contractors charging by the hour, the system helps you to verify invoices as the arrival and leaving times are recorded plus the pass is signed by your own authorised personnel.
